Enclosures

 

The following documents are enclosed with your posted details:

 

· Two start lists for your school, one in start time order, the other in age class order. Please email Simon Moore at BSSCentries@bray12.plus.com with the competitors names against start times and year, as soon as possible so that details can be entered into the computer system before the event.

If you are not on email, then post the start time order list with names against the start times to:

· An old map (possibly a different scale) of the area.

· CD of EMIT - please view this and show it to your students, if possible, for familiarisation. Travel Directions and Venue

Park Wood (Grid Reference SU 825975)

Leave the M40 at Junction 5, signed A40 West Wycombe and Stokenchurch. Turn towards the A40 at the top of the slip road (from the North: turn left; from the South: turn right). Head east through Stokenchurch and follow the A40 for about 5 miles to West Wycombe village. Continue through the village, on the A40, to a roundabout. Turn left onto the A4010, signed to Aylesbury. The event will be signed from here (SU 834946). Follow the A4010 for about 1.5+ miles, going under a railway bridge. The Event and the Car Park field is on the right hand side of the road – the turning will be well signed - take care – it is a sharp turn onto a wide track.

(Competitors from the South can exit the M40 at Junction 4 and proceed through High Wycombe but they should be warned that there are often extreme delays at this Junction of the M40 and the A404M due to extended road works, plus High Wycombe is often very busy on Saturday mornings: - it will be a greatr inconvenience to amend start times if you are late).

As you enter the Car Park, please have your parking fee ready.

    Parking: Parking is in a flat, well drained field. Please follow the directions of the marshals. Coaches will be directed to a specific coach area, round to the left of the entrance.

  • Inclement weather: If the weather is extremely wet, coaches will not be allowed to enter the field and will be directed to a drop-off point for the children and then on to parking on hard standing, about 2 miles away (If you plan to bring a coach, you will be contacted in the two/three days before the event with the backup coach parking plan). It is suggested that, in these circumstances, you also try to bring a tent, if possible, as there will be an unmanned tent provided for bags but it will not be large enough for shelter.

    Tents: There will be plenty of space for School/ Club tents around the Finish run in. Please report to the Enquiries tent, on arrival, to be directed to the appropriate area.

    On arrival, the lead adult should go to the Registration tent:

     

    NB. Registration will open at 9.30am There is no entry on the day. Hopefully, you will already have sent in your completed start list. If not, adults accompanying school teams are asked to hand in the completed start list to registration as soon as they arrive. This will enable names to be entered into the computer. Please make sure that the correct competitor is entered in each start time or the results will be wrong. Money for late entries, and any other payments owed must be paid at this point. Upon registration, you will receive a Registration bag containing:

    · Any further details

    · Numbers - to be worn on the front of their outer garments. (Both members of a pair must wear the same number - they must finish together.)

    Note: please bring your own pins (4 per bib)

    · Start slips – these must be taken to the Start

    · Loose control descriptions – pictorial and written

    · Certificates

    · Mementos

    Late Entries:

    It may be possible to accept late entries, subject to map availability. If you have missed anyone off your lists, please email Simon Moore at BSSCentries@bray12.plus.com or ring him on 01628623338. Entry fees for late entries will be £3.75 for all competitors, payable at registration, when you arrive. (Remember - there is no entry on the day).

    Start Times:

    Almost everyone has asked for late starts which is obviously not possible. Some allowance has been given for how far you have had to travel. Start times will only be amended in exceptional circumstances. (If you are late through genuine extenuating circumstances, please go to Registration on arrival to discuss the problem).

    Punching:

    EMIT Electronic punching will be used and is very simple to use. The EMIT electronic card is in the shape of a small rectangular card and has an elastic strap attached to it so it can be fitted to a finger, and held in the palm of the hand. Each electronic card is individually numbered. They are very expensive to replace and any lost cards will be charged at £25 per card.

    A demonstration control unit will be available by Enquiries. We strongly suggest that you visit this to try out the system. When you visit a control, the card should be placed onto the flat bed of the control, with the yellow label side down – it will only fit onto the control pad one way round. The control unit will flash (but NOT beep); this registers your visit to the site. The EMIT electronic card incorporates a yellow paper back-up label which is automatically marked when punching at the control. So, in the unlikely event of an electronic failure, we will be able to tell whether a control has been visited.

    If you revisit a site and punch the control again that is not a problem, the EMIT card just records two visits.

    Note: if gloves are likely to be worn, please provide a safety pin so that the EMIT card can be attached to the glove. This will be done after EMIT card collection, on the way to the Start.

    Competition area: The Competition area is out of bounds to adults and competitors not out on the course. Schools will be disqualified if this is not observed.

    Start: The Start is reached from the top corner of the Assembly area.

    Call up will be 9 minutes before your start time (it is suggested that competitors arrive at the Start area at least 10 minutes before their Start time) . On call-up, each competitor will need to produce their start slip. The start slip will have all the details of the competitor on it (no start slip, no go). The Start official will tick you off on a start list. You will then move through the tent, where you will be given your EMIT card. On leaving the tent, another Start official will check that you are holding the EMIT card correctly (and pinned on to gloves if a pin is provided) before you enter the wood . You will then move into the wood and walk up to reach the other boxes at -5 mins, - 4mins, –3mins, -2mins (where there will be blank maps showing the position of the Start kite) and –1min. When you reach the –1 box, you will be allowed to pick up your map and study it for 1 minute before you start.

    Once you have started you MUST report to the Finish even if you retire.

    Please note that parents and teachers will not be allowed beyond the call-up point. The Start officials will be able to help the competitors if necessary. Remember, no start slip, no go. The start slip allows us to allocate the correct EMIT card to the correct competitor at the correct time.

    We will not be able to change start times at the start, so please turn up in plenty of time.

    Finish The finish is in the Assembly field. Please punch at the finish control and then immediately continue to the Download tent for your result. Note: Pairs must finish together.

    Map Collection

    After you have passed through the finish and downloaded you MUST place your map in the map collection bag allocated to your school. Maps will be collected until 12.30pm or after the last start time, if this is later. After this, an adult representative from your school may collect the maps. Anyone found in possession of a competition map, showing the controls, outside of the competition area, during the event, will disqualify their school team from the competition.

    Other details:

    Equipment Required

    Orienteering kit or a T-shirt or long sleeved shirt, track suit bottoms and trainers (or shoes with a good grip). No shorts. It is possible that the area will be muddy - it is a physical area and some of the chalk slopes can be slippery. In addition, a watch, which will let pupils know how long they have been out and a compass are recommended. Whistles are strongly recommended - emergency signal is 6 blasts on the whistle.

    Map

    A 1:10,000 five colour map of the area updated in 2006. The terrain is typical Chiltern woodlands, with runnable woodland, rolling hillsides and many paths. Maps will be overprinted with the controls and sealed in a polythene bag. Control descriptions will be on the reverse of the map with copies for attaching to the wrist, in the start area. Blank copies of the map will be on display in the assembly area.

    Control Descriptions

    Control Descriptions will be in pictorial format on the front of the map and also printed on the back of the map in written format. Loose copies of both will be in the Registration bags. If these are used, try to fasten them securely - remember, no litter.

    Controls

    Controls will be the standard orange and white kites hung on metal EMIT posts. The control code will be on the stake.

    Pairs

    Each pair will have bibs with the same number and marked to show Officials that they are a pair. Each pair will given only one EMIT card but can pick up a map each. At the Finish, both runners must be together before they punch at the Finish control.

    Scoring

    All controls score the same, namely 10 points for each control correctly punched. 5 points will be deducted for every minute or part of a minute over your allotted time.

    The time limit will be 45 minutes for competitors in years 5, 6, 7, 8 and 9. For years 10 & 11and 12 & 13, the time limit will be 60 minutes. Competitors do not have to stay out for the whole of this time.

    Course Details information from the Planner

    There are 30 controls on the course, with controls 1 -10 forming a simple White course on the BOF Colour Coded system. Control sites in general are of varying technical standards, between White and Green on the BOF Colour Coded System.

    There is an obvious spectator control in the grassy field, above the Assembly area. (Not all competitors will punch this control - in particular, it is not on the recommended list of controls for the easy White course).

    Everyone should remember to punch the last control at the gate (Number 10 ), before entering the field for the final 130m run to the Finish control. Remember to punch at the Finish.

    Results

    Results will be processed by computer. Interim results will be displayed and updated at regular intervals. Full results will be posted on BSOA and the event websites, www.bsoa.org or www.bko.org.uk as soon as possible after the event. Results will be posted only to those schools who have requested them and paid £1. Anyone else requiring results should complete an envelope on the day (at Registration), enclosing £1.

    Prize Giving and Awards It is hoped to hold the prize giving at 2.00 pm, on a grassy slope, next to the Finish area.

    School Team Trophies

    Primary Boys (Years 5 & 6) Best 4 scores to count.

    Primary Girls (Years 5 & 6) Best 4 scores to count.

    Middle / Prep Boys (Years 5-8) Best 4 scores to count from at least 2 years

    Middle / Prep Girls (Years 5-8) Best 4 scores to count from at least 2 years

    Lower Secondary Boys (Y7-9) Best 6 scores to count from at least 2 years

    Lower Secondary Girls (Y7-9) Best 6 scores to count from at least 2 years

    Upper Secondary Boys (Y10-13) Best 6 scores to count.

    Upper Secondary Girls (Y10-13) Best 6 scores to count.

    (Schools with competitors up to and including year 8 are counted as middle / prep schools). In the event of a tie, the shortest total time will count. Incomplete teams will count after complete teams. The first three teams will be awarded trophies Individual Awards and Certificates

    Years 5 - 9 will all compete in separate year classes. Years 10 and 11 will be combined into one age class as will years 12 and 13. Awards will be given to the first three competitors (or pairs) in each of the 7 boys’ and 7 girls’ age classes. In the event of a tie on points, the shortest time will count. Certificates will be awarded to all competitors.

    Toilets

    Portaloos for the event will be situated in the Assembly area.

    First Aid

    Will be located at the Finish.

    Photography

    An official event photographer, Graham Russell (Prosportphotos), will be there to take photographs whilst the competition is on and at the prize giving. He will have photos for sale on his website (www.prosportphotos.com) after the event. These photographs may be used on the British Schools' and the event websites to report the event. Local newspapers have also been invited to cover the event. If there are any objections to competitors having their photograph taken, can you please contact Liz Turbin at BSSC06@bko.org.uk

    Safety - YOU MUST brief your competitors with the instructions below:

    1. There are steep chalk slopes and paths in the Event area. After any recent rain, these may be extremely slippery - take extra care, especially when descending. 2. The area is open to dog walkers and horse riders - please use common sense near animals and be polite and courteous to members of the public.

    3. The area is surrounded by uncrossable fences and public roads and fields - these must not be crossed at any time.

    4. There will be Safety Officials, wearing yellow bibs, patrolling the areas near public roads. These persons can be approached for assistance in an emergency. Please also obey any instructions they may give you.

    ALL competitors take part at their own risk and are advised to carry a whistle and know the emergency signal (6 blasts on a whistle ) .Teachers who are worried about an overdue competitor should report their concern to Enquiries and not go looking in the Wood themselves.
